Information for Employers

What an employer commits to when taking on an apprentice:

  • Apprentices must be 16 years old or older; they can be a new or current employee.
  • Apprentices must work towards an approved apprenticeship standard or framework. Their training will be for a minimum of 12 months but will usually last for longer depending on the level or course.
  • Apprentices must be employed for at least 30 hours each week. You can employ them for more if you wish.
  • You must allow your apprentice to combine learning in the workplace with formal off-the-job training which usually takes place outside the normal working environment.
  • Apprentices must be allowed time off for training to support the “on the job” experience. This must equate to a minimum of 20% of the hours they are paid for. Therefore, if an apprentice is employed for 30 hours per week, then the training element must be at least 6 hours. This will be one day per week at AHC usually from 9 – 4. You must still pay your apprentice for time spent training or studying for their apprenticeship, whether while at work or at a college or training organisation.
  • You must give your apprentice a contract of employment which is at least long enough to allow them to complete their apprenticeship successfully. This can be something as short and simple as a page outlining their job title and description, working hours and their holidays or can be more in depth with sick pay, probation period and outline of some policies.
  • Give your apprentice a job role (or roles) that enables them to gain the knowledge, skills and behaviours they need to achieve their apprenticeship.
  • Employers must pay and give appropriate holiday pay, at least 20 days per annum plus bank holidays.
  • Employers must engage with the training provider. This involves advising us of absences, any concerns you have, reviews of progress with the apprentice at 12 weekly intervals. Just generally keeping in touch and updating us. Similarly it is always good to hear about any successes your apprentice has and any additional training or support you have put in place to ensure your apprentice achieves.
  • Employers must pay at least the National Minimum Wage Rate for apprentices, this is set by central government. The current rate for an apprentice is £3.90 per hour as of April 2019 but an employer can choose to pay you more if they wish. For an Apprentice aged 19 or over, they must be paid at least National Minimum Wage Rate for their age if they have completed their first year. These are in the table below.

You must offer apprentices the same conditions as other employees working at similar grades or in similar roles. This includes:

  1. paid holidays
  2. sick pay
  3. any benefits you offer such as childcare voucher schemes
  4. any support you offer such as coaching or mentoring

Costs of having an apprentice

For a business with less than 50 employees:

  • Apprentice is aged 16-18: FREE
  • Apprentice is aged 19+: 5% of cost
  • Apprentice is aged 19-24 & EHCP or Care Leaver: FREE
  • £1000 incentive available? Yes for 16-18 year olds*
  • * An incentive payment is also available for Apprentices who are 19-24 years old and have a current EHCP (Educational Health Care Plan) in place or are leaving care.

For a business with more than 50 employees:

  • Apprentice is aged 16-18: 5% of cost
  • Apprentice is aged 19+: 5% of cost
  • Apprentice is aged 19-24 & EHCP or Care Leaver: 5% of cost
  • £1000 incentive available? Yes for 16-18 year olds*
  • * An incentive payment is also available for Apprentices who are 19-24 years old and have a current EHCP (Educational Health Care Plan) in place or are leaving care.

Levy Paying Employer:

  • Apprentice is aged 16-18: Full cost
  • Apprentice is aged 19+: Full cost
  • Apprentice is aged 19-24 & EHCP or Care Leaver: Full cost
  • £1000 incentive available? Yes for 16-18 year olds*
  • * An incentive payment is also available for Apprentices who are 19-24 years old and have a current EHCP (Educational Health Care Plan) in place or are leaving care.

Levy Paying Employer (once levy spent):

  • Apprentice is aged 16-18: 5% of cost
  • Apprentice is aged 19+: 5% of cost
  • Apprentice is aged 19-24 & EHCP or Care Leaver: 5% of cost
  • £1000 incentive available? Yes for 16-18 year olds*

If you are a large employer and pay into the levy:

  • All employers with a PAYE bill of over £3m pay a 0.5% Apprenticeship Levy per annum which is automatically deducted by HMRC on a monthly basis. The Government tops up the contribution by 5%. The levy can only be utilised to pay for Apprenticeship training, which does not include Apprentice wages, additional training or Maths & English.
  • The levy account is managed by the employer through a digital portal – The Apprenticeship Service – where employers can source Apprenticeship providers, recruit Apprentices, pay providers and manage their levy balance.
